AGENDA: 1. Roll Call 3. Approval of minutes. 4 Treasurers report. 5. Report on IAGenWeb.org Server Plan and funding for same 6. Report on Friends store and discussion
The Treasurer, Rich Lowe, presented the report:
Financial Reports updated as of year-end December 31, 2009 can be found at: http://iagenweb.org/state/friends_of_iagenweb-operations/ Balance Sheet: US Bank Checking: $680.76; PayPal Balance: $2,910.35 Income for calendar year 2009 was down $644 from 2008. Significant were a reduction in donations of $3,000 from Loren Toomsen (made in the form of forgiving a portion of the loan in 2008) and an increase in 2009 income from Google AdSense of $2,521. Overall cash donations (memberships) were down for the year and continue to be an area to work on getting greater participation. Expenses were up just $167 over the previous calendar year with the major expense items being Loan Interest of $514.17 and Server Expense of $792.48. As Mark Christian has reported, we experienced a reduction in monthly server expense late in 2009 which will be helpful in 2010. AdSense income for the calendar year was $3,166. Since the inception of AdSense on Aug 9, 2008, we have earned a total of $4,384 to date. We added AdSense to the WPA Special Project in April. Since adding the WPA site, 22.1% of earnings have come from WPA site and 77.9% from GPP. The Underwriting balance due Loren Toomsen was reduced by $3,287 in 2009 with payments totaling $3,801 and interest accrued of $514. Balance still owed as of 12/31/09 was $6,162.
The Treasurer presented an update later in the meeting:
Friends Financial Reports have been updated through January 31, 2010. http://iagenweb.org/state/friends_of_iagenweb-operations/
The Secretary, Mark Christian, presented the minutes of the last meeting:
The last meeting of the board of directors was held September 12-29, 2009. The minutes are located at: http://iagenweb.org/state/friends_of_iagenweb-operations/meetings/meetings.htm
The Chair announced without objection the acceptance of the minutes.
The Chair made the following announcement on February 11, 2010.
I am momentarily interrupting the discussion on the store to make an announce. Peggy Tebbetts has resigned from the IAGenWeb Project and as Director at Large for personal reasons and lack of time. A new Director at Large will be presented to the board for confirmation soon.
Mark Christian presented the report on the IAGenWeb server plan and funding.
Our original server plan with PowerVPS was called the Linux Basic VPS plan which cost $59.95 per month and included 20 gigabytes of server disk space. Each additional gigabyte of disk space cost an additional $1.50. In November, 2009 we were using 27 gigabytes which meant that our monthly payment was $70.45. In mid November 2009 PowerVPS eliminated the Basic plan and converted it to a new Fuse Starter Hosting plan. This new plan also costs $59.95 per month, however this plan includes 40 gigabytes of disk space (and also more server memory). As a result, our cost for the server was immediately reduced. 40 gigabytes of disk space limit should last us a long time. (At this time we are still at 27 gigabytes of usage.) The current board-authorized funding for our server is $68.95 plus an additional $50.00 fund to be applied by technical support as needed to support additional space requirements. Of that $50.00, $4.62 was expended with a balance remaining of $45.38. I plan to offer a motion to change the authorization to $59.95 per month. Unless somebody has other thoughts on this, I will propose the authorization end with the June payment which is the end of the current board's term. (We could then authorize for a full year with the new board.) I will wait for comments before offering the motion tomorrow.
It was moved by Mark Christian and seconded by Richard Harrison that the board replace all current budget authorizations for the IAGenWeb server with a new authorization of $59.95 per month through June, 2010.

The Chair declared the motion passed.
Karen De Groote-Johnson presented the report on the Friends Store.
I am sorry for the delay of this report. I had computer issues and no email for a couple days. Daughter let a virus in the house. Anyhow, this will be short and sweet. In the last 6 months the only sale from the store is a $3 profit when I purchased a GPP cup. With that performance the store needs to be made in to a free store, with only one logo available if anyone ever wants a product. I am beyond disappointed. Rich can take care of the account to either close or go to free, depending on your wishes. There will be no reason for me to continue as storekeeper as it will take care of itself. The IAGW product line is already there so I will tender my resignation as of today. I do hope the individual coordinators of the special projects will set up free stores for each of their logos. It would be nice to have the products available in the future. Thank you for the opportunity in trying to make this a profitable venture despite it turning out in the red.
It was moved by Gail Kilgore and seconded by Rich Lowe that the Friends store be closed.
